Position: Office Manager
Reports to: Managing Director
Position Description
The Office Manager serves as the “face” of the organization. The Office Manager is expected to be able to manage contacts from the public including women impacted by breast cancer but also from members of our Board of Directors, volunteers, service persons and building personnel. This position requires strong organizational skills, an eye for detail, a pleasant phone manner, and the ability to take initiative and ownership over multiple projects. The primary duties of the position are to provide administrative and program support services.
General Administrative Duties
- Respond to incoming phone calls and in-person contacts.
- Provide administrative support to staff.
- Manage office equipment, repairs, and contracts for service.
- Manage the relationship with the landlord.
- Order and manage office supplies and inventory.
- Create materials e.g. templates, forms, announcements, posters, spreadsheets.
- Maintain and replenish postage and process outgoing mail.
- Attend staff meetings and follow-up as indicated.
- Supervise office volunteers: coordinate volunteer schedule, develop and supervise volunteer projects, provide volunteer orientation and training.
Program-Related Duties
- Manage the program inquiry and registration process.
- Assist the Retreat Director with program administration and preparation of materials/supplies for programs.
- Collect and track program participant data.
- Assist Retreat Director with recruitment and training of retreat site directors, retreat volunteers.
- Visit potential retreat sites and manage site contract negotiations.
- Negotiate contracts with caterers, activity instructors, others as directed.
- Work in collaboration with Special Events Coordinator on program logistics.
- Maintain inventory of BCR program and informational materials
- Work with graphics designers on materials creation.

- Ability to work independently and take ownership for work.
- Ability to manage time efficiently, meet deadlines, and work independently.
- Ability to work on multiple projects with frequent interruptions.
- Strong organizational skills.
- Excellent oral and written communication skills.
- Ability to work in a small work setting in a non-profit environment.
- Ability to be flexible and value innovation and creativity.
- Must have a moderate or excellent technical skill proficiency.
- Web design or web content management experience a plus.
- Knowledge of, or personal experience with, breast cancer a plus.
- Ability to be empathetic with women diagnosed with breast cancer, while maintaining a professional relationship.
- Knowledge of local, regional and national breast cancer resources a plus.
Experience
- 3-5 years in an Office Manager/Executive Assistant position preferred.
Other
- Must have the physical ability to assist with unpacking/packing supplies.
- Must hold a valid drivers license and be eligible for coverage on insurance.
- Minimum of a high school diploma is required, college degree preferred.
